How to Use a Shareable Online Calendar for Efficient Scheduling

Step 1: Open Google Calendar

Go to your web browser and visit https://calendar.google.com/.

Step 2: Find your calendars

On the left side, you’ll see a section called “My calendars.”

Click the down arrow to show all your calendars if it’s hidden.

Step 3: Choose the calendar to share

Choose the calendar you want to share with someone and click the three-dot menu that appears.

Step 4: Share with people

From the menu, select “Settings and Sharing.” Then, under “Settings for my calendars,” click “Share with specific people.”

Step 5: Add people to share with

To give someone access to your calendar, click “Add people” and provide their email addresses, separating each address with a comma.

Step 6: Set permissions

Next to each email address, there’s a drop-down menu. Click on it and choose the permission level you want to give them. Here are your options:

• See all event details: People can see everything on your calendar, including titles, descriptions, and guest lists.
• See only accessible/busy (hide details): People can only know when you’re busy but not the details of your events.
• Make changes to events: People can see your calendar and edit events.

Step 7: Send the invite

Once you’ve chosen the permission for each person or a single person, click “Send.” To whom you shared your calendar, you will receive an email notification with a link to add your calendar to theirs.
