How to Manage Emails in Microsoft Outlook
Create folders in Outlook to Manage Your Tasks
Organize your emails into folders based on projects, clients, or categories. Right-click on your mailbox and select “New Folder” to create folders. You can then drag and drop emails into these folders.
Create Outlook rules to automatically sort emails
Outlook allows you to create rules to automatically organize incoming emails. For example, you can set up rules to move emails from specific senders or with certain keywords directly into designated folders. Go to the “Rules” option in the toolbar to create new rules.
Automate repetitive tasks in Outlook with Quick Steps
Quick Steps automate common email actions. For instance, you can create a Quick Step to move emails to a specific folder, forward them to your team, or mark them as read. Look for the Quick Steps section in the toolbar.
Flagging and Categories
Flag important emails for follow-up or categorize them for easier identification. You can use different colors for categories and set reminders for flagged emails. This helps prioritize tasks.
Search Folders
Utilize Outlook’s search folders to create virtual folders that display emails meeting specific criteria. For example, you can create a search folder for unread emails, emails flagged for follow-up, or emails from specific people.
You can also use the shortcut key : Ctrl+Shift+P
Keyboard Shortcuts
Learn and use keyboard shortcuts to navigate Outlook faster. For example, pressing Ctrl + 1, Ctrl + 2, etc., switches between Mail, Calendar, Contacts, and other sections. Ctrl + Shift + M creates a new email, and Ctrl + Enter sends the email.
Clean Up Conversations
Outlook offers a clean-up tool to remove redundant emails from conversations. This is useful for decluttering long email threads. Right-click on a conversation and select “Clean Up Conversation.”
Delay Delivery
If you want to send an email at a specific time, use the “Delay Delivery” feature. Write your email, click on the “Options” tab, and then select “Delay Delivery.” Set the desired date and time for sending.
Use Templates
Save time by creating email templates for commonly used messages. You can create templates for project updates, meeting requests, or responses to frequently asked questions. Simply create a new email, design it as a template, and save it.
Archive Emails
Instead of keeping all emails in your inbox, archive old emails that you don’t need to access frequently. Archiving helps keep your inbox clutter-free while still retaining access to important emails.
Out-of-Office Assistant
When you’re away from work, set up an automatic out-of-office reply. This informs senders that you’re unavailable and provides them with alternative contacts or instructions for urgent matters.
Use the Focused Inbox
If available, utilize Outlook’s Focused Inbox feature to automatically filter important emails into the Focused tab while other emails go to the Other tab. This helps prioritize your attention.
